Number of Users in the ACT! Database Calculation
To count the number of users in your database, do the following:
  • ACT! 2000/6.0: Click on the
    File->Administration->Define Users and count the number of users
  • ACT! 2005/2006/2007/2008: Click on
    Tools->Manage Users and count the number of users

Warning! Do not remove any users from your database because it will corrupt the database and result in added costs to your conversion.

Conversion Specifications

Feature ACT-To-BCM Services Microsoft Import/CSV/Other
ACT! Versions Supported 2000, 6.0, 2005, 2006, 2007 and 2008. Standard and Premium Unknown. Works with some, fails with most databases.
Standard Contact Data J - All standard contact data comes over. When data is corrupted, our software finds the best solution to fix the data.
  • Ownership: Contact ownership and assignment is the same as in ACT!
  • Groups. ACT! Groups are assigned to Categories in BCM.
  • ID/Status. ID status is brought over to the appropriate BCM field.
  • Private Records. We can filter out any private records from being transferred over.
  • Home Addresses. ACT! Home Address in transferred to BCM Home Address.
  • Email Addresses. Up to 10 Email Addresses can be transferred. While BCM only allows 3 emails addresses per contact, any additional email addresses are transferred as user defined fields in BCM. The total number of user defined fields may not exceed 40.
L - Unless you import just the basic data, all other data is ignored. Also, if any corruption exists on your data, the import fails.
  • Ownership: Contact Ownership is lost forever!
  • Groups. ACT! Groups are lost forever.
  • ID/Status. Lost forever.
  • Private Records. No filtering mechanism to exclude private records.
  • Home Addresses. Lost forever.
  • Email Addresses. Only 3. All other email addresses are lost.
ACT! Groups J - We take the ACT! group membership of a contact and put that data in the Categories field.

For example, a contact belongs to Group1, Group2->SubGroup3, and Group4->SubGroup5. In BCM, the contact would belong to Categories: Group1, Group2.SubGroup3, Group4.SubGroup5 .

L - ACT! Group membership is lost forever
Number of Contacts J - We can import an unlimited number of contacts. Our record is over 13,000 records. L - If you import more than 800 records, you run out of memory, hence the conversion fails.
Multiple-User ACT! Database J - We support multi-user ACT! databases and reflect the user ownership in the following ways:
  • Contacts and Companies. All user ownership is reflected on Assigned field.
  • History/Notes. All user ownership is reflected on the Business Communication History
  • Opportunities. All user ownerships is maintained.
  • Todo's: Each user gets his/hers own Outlook folder with his/hers own todo's
  • Calls: Each user gets his/hers own Outlook folder with his/hers own Calls
  • Meetings: Each user gets his/hers own Outlook folder with his/hers own Meetings
L - Multi-User databases not supported. All multi-user ownership and data is lost.
User Contact Data J - Up to 40 user-defined fields can be imported.
  • Data Inconsistency. Most user fields have data that should not be there, either by design or by usage. When this happens, our software will overcome the issue and continue the import.
L - User defined fields are randomly selected. When inconsistencies occur on these fields, import fails.
  • Data Inconsistency. If any inconsistency is found in the data, the import is abandoned.
Secondary Contacts J - All secondary contacts are brought over to the contact's comments section. L - Secondary contacts are not converted and lost forever.
Attachments J - All Attachments are converted, plus we can concentrate your attachments all in one place. This makes it easy to access the data on a network.
 
L - Attachments? They don't even register....
Companies J - All companies are converted into BCM accounts.
  • Ownership: The company/account manager is maintained.
  • Company Links: All links between the company and individuals in that company are maintained.
  • Company History: All company history is brought over.
L - All companies are converted into BCM accounts.
  • Ownership: Lost Forever.
  • Company Links: Lost Forever. None of the Contact<->Company relationships are maintained.
  • Company History: Lost Forever

 

Notes/History J - All history and notes items are converted and linked to the contact.
  • Dates: All the dates are maintained as to when they occurred. That means that the dates reflect the true entry vs. the date of the import.
  • History/Notes Originator: the identifier of the history entry i.e. the person that entered the history is kept so you know who entered the item.
  • Attachments: All standard attachments are linked to the history. Double click on the history item and the attachment opens.
  • ACT! Email Attachments: all ACT! email is converted to Outlook .msg and linked to the history entry. Double click on the email attachment and the Outlook message opens.
  • ACT! Documents: ACT! Documents are converted to Text files and linked to the BCM History item. Double click on the document, and the text message opens.
  • Ownership: Ownership of the history item is the same as in ACT!
  • Types: Every history/notes type is brought over for easy identification, whether it is a meeting, todo, note, document, etc..
  • Unlimited. There is no limitation on the number of history/notes items you can import.
L - History/Notes are "imported". However:
  • Dates: The dates become the date of the import rendering dates useless.!
  • History/Notes Originator: Lost forever.
  • Attachments: All attachments are lost forever!
  • ACT! Email Attachments: All ACT! Email Attachments are lost forever!
  • ACT! Documents: All ACT! Documents are lost forever.
  • Ownership: All ownership and origination details are lost forever!
  • Types: None of the history/notes types are brought over, resulting on a jumbled list of items.
  • Limited. History import of large quantities of data causes Outlook to crash, rendering the import useless.

 

Opportunities J - All opportunities are brought over to BCM.
  • Dates: All the dates are maintained as to when they occurred. That means that the dates reflect the true entry vs. the date of the import.
  • Opportunity Owner: The user dealing with the opportunity is maintained.
  • Products: All products, opportunity values and possibilities are brought over.
  • Opportunity Links: All opportunities are linked to the BCM Contacts.
  • Sales Stages: All opportunity sales stages are mapped to the corresponding BCM value.
  • Close Dates: All close dates are maintained.
  • Ownership: Ownership of the history item is the same as in ACT!
  • Unlimited. There is no limitation on the number of history/notes items you can import.
L - All opportunities are "brought" over to BCM.
  • Dates: All dates are the date of the conversion.
  • Opportunity Owner: Lost.
  • Products: Lost forever.
  • Opportunity Links: All opportunities are linked to the BCM Contacts.
  • Sales Stages: Lost forever.
  • Close Dates: Lost forever.
  • Ownership: Lost forever.
Todo's, Calls and Meetings J - Everything gets converted to an Outlook .pst. This file is then mounted into Outlook using the File->Data File Management and you have full access to all activites.
  • Todo's: All todo's are converted to Outlook Tasks linked to the BCM contact.
  • Calls: All calls are converted to outlook Calendar items and linked to the BCM contact.
  • Meetings: All meetings are converted to Outlook Calendar entries and linked to the BCM Contact.
  • Subject line: We insert the name and phone number on the subject line of the activity for easy access to the contact.
L - Everything gets lost forever. Who needs to keep track of things to do anyway?
  • Todo's: Lost Forever.
  • Calls: Lost Forever.
  • Meetings: Lost Forever.
  Remote Access Conversion
In many instances, we have clients that cannot partake of their database and send it to us. For these clients, we have our Remote Access Conversion option where we remotely access the PC where the database is installed and perform the conversion on-site. The database never leaves your PC. This is an added option to your conversion and must be purchased in addition to the conversion.

This option is only available for clients using ACT! 2007/2008.
